Summary: The PSR greets patients, obtains and verifies patient information/identification and updates patient records accordingly. The PSR makes future patient appointments, run necessary schedules, checks in charts for the day's appointments and files charts in the appropriate places. The PSR makes appointments over the telephone, calls patients to remind them of their appointment(s), updates the schedule, and makes all schedule changes. The PSR answers all incoming phone calls in a courteous and timely manner. The PSR collects co-payments and other professional fees at the time of service and answers patients billing questions. The PSR updates patient records and obtains demographic and financial information from new patients to create their accounts and charts. The PSR files medical record materials, pull records, and delivers them to various departments within the clinic. Demonstrates knowledge of the principles of growth and development and possesses the ability to respond to specific issues and data reflective of the patient/customer's status. Demonstrates the knowledge and skills necessary to provide care for the population served in the department. Verifies and obtains demographic and financial data from the patient or their representative and updates patient record as necessary. Forwards appropriate data to Business Office. Copies new insurance cards and makes changes to record. Observes strict patient confidentiality in dealing with patients, clinic and hospital information. Puts charts up for nurse or provider as patients check in. Attends required meetings and participates in committees as needed. Make all future appointments for patients. Makes appointments over the telephone. Updates the schedule and makes all schedule changes. Answers all incoming calls within three rings whenever possible. Properly routes calls that need immediate handling. Takes messages on calls to be returned and locates charts for them. Requests fees from the patient and issues a receipt. Balances the day and cash drawer. Checks and deletes all no-show and cancelled

. Maintains professional demeanor at all times with patients, providers and co-workers. Accurately and efficiently registers all patients. Prepares the patients chart and puts it up for the provider or nurse. Pull and route patient records for patient care encounters. Copy patients' records as indicated per requestor. Verifies proper consents are completed. Sort and route mail. Place transcribed reports on correct record. Pulls obsolete records and files in storage area. Places work orders for plant operations, information technology and biomed as needed. Track patient visits (spreadsheet) daily. Send superbills to business office daily. Marginal Job Functions: Makes sure charts are in time order for the day. Watches the waiting room to make sure patients are being seen in a timely fashion and advises patients of schedule changes. Assemble new charts accordingly. Run next days schedules. Reschedules any appointments necessary due to provider schedule changes. Knows how to handle a Code Red call. Updates schedule as needed throughout the day. Finds charts in medical records when necessary. Performs miscellaneous clerical functions as requested. Counsels patients about their accounts. Refers patients to Business Office when appropriate. Copies all checks. Keeps an updated record of all new charts. Orders departmental supplies. Experience: Prefer one year customer service experience in a medical office setting. Prefer computer experience. Skills, Knowledge, Abilities: Knowledge of grammar, spelling and punctuation to type patient information. Skill in operating a computer, calculator, telephone, copier and fax machine. Skill in greeting patients and answering the telephone in a pleasant and helpful manner. Ability to read, understand and follow oral and written instruction. Ability to sort and file materials correctly by alphabetic or numeric systems. Ability to establish and maintain effective working relationships with patients, employees and the public. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
